Lane Public Library Volunteer Policy

Volunteers are persons who regularly perform duties or tasks for the Library without wages or benefits other than Workers Compensation

The Assistant in Public Relations will serve as Volunteer Coordinator to oversee the use and general training of volunteers. Each department or agency that uses volunteers will designate a Volunteer Supervisor (Grade 12 or higher) to arrange training for, supervise and evaluate volunteers at that agency. The Volunteer Coordinator and the agency Volunteer Representatives will serve as a Standing Work Group to ensure ongoing agency input and evaluation of the volunteer program.

Volunteers must complete a volunteer application form and be age 14 or older. Volunteers under 18 years of age must have written permission from a parent or guardian. The Library will consider skills, interests, locations, schedule and transportation when matching volunteers with suitable jobs. If there is not a job available, the volunteer will be informed that the application will be kept on file for one year and the applicant will be contacted when there is an appropriate opening.

Volunteers will not take the place of paid staff. They will provide special, unusual or supplemental services and will be recruited for specific jobs rather than on a general basis. Each volunteer is asked to work, at a minimum, an average of two hours a week for at least 12 weeks. Volunteers performing school-required or court-ordered community service hours will be an exception and will be accommodated if appropriate jobs are available at the time.

Volunteers are recognized by the public as representatives of the Library and will be guided by the same work and behavior codes as employees. Volunteers will receive identification badges and orientation packets and must receive training before beginning their assigned jobs. They will have access to staff restrooms and lounge areas during their work hours.

Volunteers will receive written appraisals from their Volunteer Supervisors after three months and annually thereafter. The Libraries reserve the right to immediately remove volunteers from the program or reassign the volunteer to more appropriate tasks. Volunteers’ personnel files ill be retained for two years.
